Why similar catalogue records should not be merged by assumption

Records with similar names may represent different suppliers, sizes, finishes, constructions or source references. Keep each candidate tied to its own page, image and known data until the supplier confirms that the products are identical. This prevents a declaration, drawing or trial result from being attached to the wrong component. Where one record later supersedes another, the change should be managed through the approved specification rather than by silently treating the pages as interchangeable.

Commercial details follow the technical definition

Minimum order, lead time, pallet quantity, print origination, delivery frequency and stockholding can affect the practical choice, but they should be quoted against a defined product. Include forecast annual demand and call-off pattern, not only the first order. For printed or custom items, identify artwork approval and change-control needs. For imported or made-to-order items, agree how substitutions will be controlled so that material evidence and machinery compatibility are not lost when supply changes.
